This explains what we do with personal information. It is written to be read, not to cover us - if anything here is unclear, ask and we will explain it.
JBH Weddings, a trading name of JBH Media, a sole trader owned by Jamie Hayward, of 40 Goodiford Crescent, Cullompton, Devon, EX15 1ZS. For anything about your data, email weddings@jbhmedia.co.uk or call 07955 126157.
When you enquire or book with us, we are the controller: we decide what to collect and why.
When we run a gallery, RSVP or check-in for a couple, the couple are the controller for their guests' information, and we act on their instructions as their processor. If you are a guest and want something removed, you can ask either us or the couple - we will act on it either way.
Enquiries: your names, email, phone if you give it, your wedding date and what you asked about - so we can reply and quote. We also record how you found us, which page you first landed on, and any campaign tag in the link you followed, so we know which of our efforts are worth continuing. Our lawful basis is legitimate interests: you asked us a question, we answer it.
Bookings: the details needed to build what you have bought - venue, timings, guest numbers, your wording and photographs. Lawful basis: performance of our contract with you.
Guest information, where a couple has booked an RSVP, invitations or check-in: names, whether they are coming, meal choices, and any dietary requirements or allergies they give. Dietary information can reveal health conditions or religious belief, which the law treats as special category data. We only hold it because the guest has volunteered it so the couple can cater for them, we do not use it for anything else, and we delete it with the rest of the wedding's data.
Photographs: images uploaded by guests or taken by our photo booth. Location data is stripped from the copies we display.
We do not use advertising cookies and we do not share anything with advertising networks. We set a small first-party cookie recording how you arrived, so an enquiry can be attributed correctly, and where a gallery is password-protected we set one to remember that you entered the password. Our website statistics do not use cookies at all and cannot identify you.
Our hosting is on servers we control in the UK or EU. We use an email provider to send messages, and SumUp to take payments. We do not sell anything to anyone, ever.
Galleries and their photographs are deleted on the retention date the couple chose - typically one, three or twelve months after the wedding. Guest lists and RSVPs are deleted at the same time. Enquiries that do not become bookings are kept for up to two years in case you come back to us. Records we need for tax are kept for six years.
You can ask for a copy of your information, ask us to correct it, ask us to delete it, object to how we are using it, or ask us to restrict it. Email us and we will respond within one month. If we get it wrong, you can complain to the Information Commissioner's Office at ico.org.uk, though we would appreciate the chance to fix it first.
Children appear in wedding photographs, and that is normal. We do not knowingly collect information directly from children, and guest galleries are intended to be used by adults. If you are a parent and want a photograph of your child removed, email us and it will be gone the same day.
Passwords are hashed, access to your data needs a second factor, galleries can be password-protected, and links that open your details expire. No system is perfect, and if something ever went wrong we would tell you and the ICO as the law requires.
